HR & Onboarding Automation Services
New hire onboarding involves dozens of tasks across multiple departments - and missing any of them creates compliance risk. Our automation workflows handle offer letters, document collection, system provisioning, training assignments, and compliance verification - so every new hire has a consistent, complete onboarding experience.

HR Automation
Onboard in days, not weeks
Manual onboarding is a checklist nightmare. HR sends forms, IT provisions accounts, the manager schedules training, finance sets up payroll, compliance verifies documents - and someone has to track every step across email, spreadsheets, and Slack. Tasks get missed, new hires sit idle waiting for access, and compliance gaps create legal exposure. Our onboarding automation eliminates all of this. When a hire is confirmed, a single trigger kicks off the entire workflow: offer letter generation and e-signature collection, I-9 and W-4 form distribution and tracking, IT account provisioning (email, Slack, VPN, software licenses), training schedule creation and assignment, manager notification and first-week planning, equipment ordering and shipping, payroll system enrollment, and compliance document verification. Every task is assigned, tracked, and escalated automatically. The new hire, their manager, HR, IT, and finance all see their tasks and deadlines in one place. Nothing falls through the cracks because nothing depends on someone remembering to send an email.
Why Automate Onboarding
What changes when onboarding runs itself
60% Faster Onboarding
Automated workflows compress onboarding from 2-4 weeks to 3-5 days. Documents are collected before day one, systems are provisioned overnight, and training starts immediately - no waiting for manual handoffs.
100% Compliance Every Time
Every compliance step is tracked and verified: I-9 completion, background check status, NDA signatures, policy acknowledgments, and required training completion. Nothing proceeds until prerequisites are met.
Automated Document Collection
New hires receive a personalized portal with all required documents and forms. E-signatures, uploads, and form submissions are tracked automatically. Reminders go out for incomplete items without HR intervention.
Cross-Department Coordination
IT, finance, facilities, and the hiring manager all receive their onboarding tasks automatically. Each department completes their steps independently, and the system tracks overall progress without HR chasing people down.
Consistent Employee Experience
Every new hire gets the same high-quality onboarding experience regardless of location, department, or hiring manager. Welcome messages, training sequences, and check-in schedules are standardized and automated.
Offboarding Automation Too
When an employee exits, the same automation handles the reverse: system access revocation, equipment return tracking, final payroll processing, exit interview scheduling, and knowledge transfer documentation.
How It Works
From offer accepted to fully onboarded
Trigger
When a candidate accepts an offer, the onboarding workflow triggers automatically. The new hire receives a welcome email with their onboarding portal link and document checklist.
Collect
Documents are collected electronically: I-9, W-4, direct deposit, emergency contacts, NDA, and custom forms. E-signatures are captured inline. Incomplete items trigger automatic reminders.
Provision
IT receives automated requests for email, Slack, VPN, and software accounts. Equipment orders are placed. Badge access is requested. All provisioning tasks are tracked to completion.
Activate
On day one, the new hire has everything ready: system access, equipment, training schedule, and a welcome package. 30/60/90-day check-in reminders are set for the manager automatically.
