About this role
We're looking for organized, detail-oriented Virtual Assistants to provide dedicated administrative support to our US-based clients. You'll work as an extension of your client's team, handling day-to-day tasks that keep their business running smoothly.
This role is perfect for someone with strong communication skills, a proactive work ethic, and a desire to build long-term client relationships. You'll receive structured training on each client's specific tools and workflows, ensuring you're productive and confident from day one.
What You'll Do
Key responsibilities
- Provide dedicated administrative support to one or more US-based clients as their primary virtual assistant
- Manage email inboxes including sorting, drafting responses, flagging priority items, and maintaining inbox zero
- Handle calendar management, meeting scheduling, and appointment coordination across time zones
- Conduct online research, compile data, and prepare summaries and reports for client review
- Perform accurate data entry and updates across CRM systems, spreadsheets, and databases
- Assist with document preparation, formatting, and file organization using Google Workspace and Microsoft Office
- Manage travel arrangements, expense tracking, and invoice processing as needed
- Communicate proactively with clients via Slack, email, and video calls to ensure alignment on priorities
What We're Looking For
Requirements
- 1-3 years of experience as a virtual assistant, executive assistant, or in an administrative support role
- Excellent verbal and written English communication skills with a neutral, professional tone
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets) and Microsoft Office
- Experience with CRM tools such as HubSpot, Salesforce, or Zoho is a plus
- Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously
- High attention to detail and a commitment to accuracy in all work output
- Comfortable working US timezone hours (partial or full overlap required)
- Bachelor’s degree in any discipline
