About this role

We're looking for organized, detail-oriented Virtual Assistants to provide dedicated administrative support to our US-based clients. You'll work as an extension of your client's team, handling day-to-day tasks that keep their business running smoothly.

This role is perfect for someone with strong communication skills, a proactive work ethic, and a desire to build long-term client relationships. You'll receive structured training on each client's specific tools and workflows, ensuring you're productive and confident from day one.

Key responsibilities

  • Provide dedicated administrative support to one or more US-based clients as their primary virtual assistant
  • Manage email inboxes including sorting, drafting responses, flagging priority items, and maintaining inbox zero
  • Handle calendar management, meeting scheduling, and appointment coordination across time zones
  • Conduct online research, compile data, and prepare summaries and reports for client review
  • Perform accurate data entry and updates across CRM systems, spreadsheets, and databases
  • Assist with document preparation, formatting, and file organization using Google Workspace and Microsoft Office
  • Manage travel arrangements, expense tracking, and invoice processing as needed
  • Communicate proactively with clients via Slack, email, and video calls to ensure alignment on priorities

Requirements

  • 1-3 years of experience as a virtual assistant, executive assistant, or in an administrative support role
  • Excellent verbal and written English communication skills with a neutral, professional tone
  • Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets) and Microsoft Office
  • Experience with CRM tools such as HubSpot, Salesforce, or Zoho is a plus
  • Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously
  • High attention to detail and a commitment to accuracy in all work output
  • Comfortable working US timezone hours (partial or full overlap required)
  • Bachelor’s degree in any discipline
